Position Description

Title: Administrative Manager

Position Summary:

The Administrative Manager is responsible for managing the Hollywood Foreign Press Association (HFPA) office, its members’ press activities and relations with motion picture studios and publicists, organizing HFPA events and participating in production of the Golden Globes. This position reports to the Chief Operating Officer and President and works closely with the officers, Board of Directors and key members to recommend, implement, and support press activities and events for HFPA and its members.

Position Responsibilities:

             Press events/travel:

  • Oversees and implements the common press activities of the HFPA members.
  • Coordinates with motion picture and television studios and publicists and the Motion Picture Association of America the scheduling and logistics of all HFPA press conferences, screenings, set visits and the like.
  • Supervises HFPA staff who arrange travel for HFPA members attending HFPA press events and film festivals outside the Los Angeles area.

            HFPA events:

  • Organizes events on behalf of HFPA (together with other appropriate HFPA representatives) at outside locations (guest lists, location, logistics, press credentials) related to the Golden Globes and other HFPA events. Participates as needed in the production of the Golden Globes.

  • HFPA offices and personnel:
  • Manages the upkeep and maintenance of HFPA’s offices and the provision of services for those offices by third parties.
  • Develops and maintains business continuity plans.
  • Coordinates responses to business interruption events.
  • Maintains personnel records and oversees HFPA staff records, including hours worked, overtime, vacation and sick days.
  • Trains HFPA staff on HFPA policies and ensures their compliance with HFPA’s personnel manual.

  • General:
  • Maintains a positive and constructive attitude and relationship with HFPA members and staff, studio representatives and other third parties.
  • Works closely with senior management to identify and implement innovative and cost-effective solutions to new and existing HFPA goals.
  • Ensures a high customer satisfaction rate by taking ownership of issues and solutions.
  • Provides support while delivering exceptional customer service.
  • In addition to the position responsibilities mentioned above, the individual will also have the responsibility to carry out unique tasks as requested by senior management.

Requirements

Position Requirements:

  • Bachelor's degree from a four-year college or university.
  • Four or more years of experience in a broad range of entertainment, journalism, travel, and related fields.
  • Prior management experience.
  • Outstanding interpersonal skills and the ability to develop, maintain, and cultivate relationships with internal and external clients.
  • The ability to work well with a broad range of personalities from diverse cultures.
  • The ability to balance competing priorities.
  • Expert level knowledge of productivity applications such as Microsoft Office and Google calendar.
  • Excellent organizational skills, including the ability to prioritize and to manage multiple tasks simultaneously.
  • Outstanding oral and written communications.
  • Fluency in multiple languages a plus.
  • Outstanding attention to detail.
  • Ability to walk up and down stairs and to lift and carry up to 40 lbs.

This position is available immediately. The selected candidate will work with the incumbent for a transition period of several months and then will succeed to the position upon the retirement of the incumbent.
