This full time staff position is responsible for administration, finance, and operations within the School of Film/Video and also provides leadership to the administrative staff. This is a full-time staff position working closely with the Dean and with the Director of Technology of the School of Film/Video. The School of Film/Video fosters and nurtures an environment of innovative and explorative film and videomaking.  The School is at the forefront where new works with new technologies are emerging and shaped as a form of artistic expression and imagination. The School encourages highly motivated students with an independent and experimental approach towards their discipline.  This position assists the Dean in sustaining the current vigorous state of the School through supervising the School’s administrative staff, managing and analysing the School’s resources (faculty, staff, and budget) along with the Dean, collaborating with the School’s program directors and the Director of Technology regarding curriculum and technology as well as providing a strong voice in the general operations of the School.  

The School of Film/Video works with a full and part-time faculty of 130 outstanding artists and scholars and scores of part time student workers. The Director of Operations is responsible with the Dean for processing employment contracts for these community members. The administrative support staff includes the Director of Operations, Associate Dean of Academic and Student Affairs, Director of Technology, four program directors, an Administrative Services Manager, a Production/Safety Manager and 4 additional office personnel.  This position reports directly to the Dean of the School of Film/Video.

ESSENTIAL JOB FUNCTIONS:
●    Maintain, manage, and analyse the approximately $6 million budget of the School of Film/Video
●    Prepare overall budget recommendations, in consultation with faculty and staff, for presentation to the Dean.  Overall responsibility for monitoring budget expenditures in the School.  Prepare and monitor budgets for new initiatives in consultation with the Dean.
●    Supervise and Chair all job searches for administrative staff positions.
●    Responsibility for student employment, assistantships and related student jobs in the School in collaboration with the Director of Technology and Operations.
●    Develop and maintain various means of communication for the disbursement of general School administration and special event information. Including social media presence.
●    Prepare faculty contracts and staff employment documentation in consultation with Program Directors and the Dean.
●    Oversee and coordinate internship opportunities
●    Coordinate special events with other staff and faculty
●    Supervision of administrative staff.
●    Work closely with the Director of Technology on budgeting, purchasing, policy, and communications.
●    Oversight of scholarships allocations in coordination with Program Directors and Dean.
●    Develop, maintain and update relevant web information on CalArts website.
●    Represent the facilities to groups both inside and outside of the CalArts community.
●    Participate in the development and implementation of policies and procedures. Facilitate weekly School of Film/Video faculty/staff meetings.
●    Interact with and support other School of Film/Video staff and faculty as needed.
●    In collaboration with the Director of Technology, oversee School renovations and facility upgrades.
●    Produce end of the year student screenings exhibited at local theaters in the Los Angeles area for all four programs (Character Animation, Experimental Animation, Program in Film and Video, and Film Directing Program).
●    Supervise educational school national and international travel projects.
●    Supervise production of compilations of student and faculty work for festival and promotional purposes in coordination with Director of Technology.
●    Coordinate and disseminate information about grants and competitions for student projects in collaboration with Associate Dean and staff.
●    Coordinate use of facilities and equipment by visiting/guest artists.
●    Plan, supervise, and coordinate special School of Film/Video campus events including special screenings, symposia, special visitors, etc
●    Collaborate with Institute personnel for promotional and advertising materials.
●    Collaborate with Alumni office and Enrollment management as needed.
●    Member of Dean’s Executive Committee.
●    Participate in fundraising activities as needed.
●    Represent the School for Institute and external audiences and conduct tours of facilities as needed.
●    Work closely with Institute Associate Vice President, Chief Operating Officer; Office of the Vice President, Chief Financial Officer; Associate Vice President, Chief Human Resources Officer; Dean of Enrollment Management, Associate Vice President and Controller on financial, enrollment, and personnel matters.
●    Special Assignments, as designated by the Dean, that may include recommendations on appointments, grants and budget analyses.
●    Other duties as directed.

Requirements

SKILLS/ABILITIES:
●    Attention to quality and detail.
●    Absolute ability to maintain confidentiality in all matters
●    Demonstrated ability to anticipate and resolve budgetary and procedural problems.
●    Ability to work with highly motivated students who take an independent and experimental approach towards their discipline.
●    Ability to establish and maintain effective communication with faculty, staff and students.
●    Excellent research, problem solving, and organization skills.
●    Experience working independently with minimal supervision.
●    Ability to multitask and maintain focus in a faced paced environment with many interruptions.
●    Ability to lift, carry and push equipment up to 50 lbs.

EDUCATION:
•    BA or BFA degree or equivalent professional experience in related field.

EXPERIENCE:
●    Minimum five years’ experience in an academic, finance, or film production environment.
●    3 years’ experience with finance and budgeting procedures and software
●    Basic knowledge of film/video production workflows
●    Experience coordinating and planning events
●    3 years office management experience combined with specialized knowledge of academic policies and procedures.
●    Experience with Mac and Windows, Productivity applications.
●    Minimum five years’ experience in an academic, finance, or film production environment.
