The Legal Assistant will work with and for three entertainment partners and/or associates, supporting the day-to-day functions of their office, with particular focus on superb client service, developing industry knowledge and creating a seamless work environment for the practice. This opportunity is perfect for an early-career, ambitious, hard working candidate who is looking for a career in the entertainment industry.


The Legal Assistant will be responsible for:

  • Answering phones, organizing multi-party, multi location conference calls, placing and directing calls to and from important clients, with the ability to communicate clearly and with discretion when needed;
  • Managing the Partners’ calendars and scheduling, including travel arrangements and  reservations.
  • Communicating with clients, potential clients and partners on behalf of the Partners’, via phone, email and additional web-based platforms.
  • Contact and database management, including maintaining current client information, sending invitations on social media, client and prospect research.
  • Data entry and management, specifically maintaining spreadsheets, timelines, calendars, attorney billing entries, and web-based applications required for internal or client work.
  • Drafting documents from templates, including correspondence, proposals, contracts and client documents.


Position type: Regular, full-time, non-exempt

Start date: May 22, 2017

Position compensation: $17-23 per hour, commensurate with industry standards and experience. Excellent benefits and retirement package included.

A strong candidate will be:

  • A former administrative assistant or personal assistant with at least three (3) years of demonstrated experience;
  • Take pride in being consistently personable and presentable, with a demonstrated pleasant phone demeanor both answering and placing calls;
  • Demonstrated ability to successfully handle sensitive and confidential information;
  • High emotional intelligence, with the ability to understand clients’ needs/concerns/objectives and to manage them with sensitivity and compassion;
  • Comfortable managing multiple responsibilities at once, and prioritizing amongst them with ease;
  • Calm under pressure and unflappable in the face of timely or urgent requests;
  • Comfortable being highly responsive when required;
  • Confident with numbers and willing to assist in the preparation, review and sending of partner and/or associate bills;
  • Highly self-motivated with the ability to take initiative without direct supervision;
  • A superb communicator, with excellent verbal and written communication skills;
  • Able to quickly and naturally draft correspondence, and have a demonstrated ability to write and edit adeptly;
  • A team player, with a positive, optimistic attitude, and the ability to recognize and celebrate wins of all sizes;
  • Willingness to pitch-in and contribute as a team player when needed, such as providing occasional  coverage for reception and/or assisting with supply stocking or other special projects;
  • Able to not only do the work, but also think about how it could be better and more efficient;
  • Confident to make recommendations and push back when changes are needed in workflows or systems;
  • Ability to learn new things quickly, especially web-based softwares and apps;
  • Able to provide clear information in a timely way to support internal or client decisions;
  • Able typing at least 60 words per minute, and possess strong working knowledge of Microsoft Office Suite;
  • An openness to constructive, supportive feedback and a commitment to consistently improve; and
  • Someone who enjoys working in a fast-paced, dynamic environment.


The ideal candidate will be:

  • Have at least two (2) year of experience working at a talent agency, television network or movie studio;
  • Have at least two (2) year of experience working at a law firm or in a legal department;
  • Experience with and/or knowledge of legal billing practices and/or legal billing software, such as Juris, a plus; and
  • Experienced in working for multiple executives at one time.
